Runbook Status Report

The Runbook Status Report is a PDF report that can be generated at anytime during an Runbook's lifecycle. The report generates as a PDF and has various options for the data it can contain.

  • Anyone with visibility of the Runbook can create a Runbook Status Report
  • Only the Deployment Lead or the report author can delete saved Status Reports

To view existing reports or generate a new report, click on the reports button from the More Option Menu in the Runbook Summary Panel.

Existing reports will be listed in the Runbook Reports panel. These can be viewed by clicking on the download icon.

You can generate a new report by clicking on the 'Create Report' button in the top right hand corner of the Runbook Reports panel.

To create a Runbook Status Report, click the 'Create Report' button and select 'Status Report'.

This will produce a window to allow you to select various sets of data you wish to have displayed in your report.

Simply check the boxes of the data you wish to include in your report and click 'Create Report'.

Status Report Breakdown

Some key information:

1. The Runbook Information section shows you the basic information surrounding the Runbook such as; the Runbook Title and ID, the RAG status of the Runbook, the State of the Runbook.

2. The Deployment Leads contact details.

3. A breakdown of the Runbooks Schedule. This allows you to see information such as the Planned Start time compared to the Actual Start Time. You can also see the overall Implementation Duration and the Gain which represents how far ahead or behind schedule the implementation is running.

 

Task Status Chart

The chart below shows you a breakdown of Tasks per their status.

Issue Status Chart

The Issue Status Chart shows a breakdown of all Issues across the Runbook. These are broken down into Low, Medium and High and the Open and Closed

Inflight Task Status Chart

This chart shows you all Tasks that are currently inflight and places the Tasks into one of four categories

1. Late and on the Runbook Critical Path

2. On the Critical Path

3. Late

4. On Schedule

 

This page of the report also provides you with a list of all Deployment Managers within the Runbook

The next page of the Status Report shows you three key pieces of information

1. Issues - This section shows you a list of Issues that have been raised within the Runbook. You are able to see the Issue ID, The state of the Issue, it's Title and the times it was Raised at and Resolved at.

2. Imp Phase Stage Summary (Imp) - This section shows you a breakdown of all Imp Phase stages within the Runbook.

3. Top Ten Task Gains (Imp) - This section provides you with a list of all Tasks within the Imp phase of the Runbook that have gained you time across your Implementation Plan.

The Status and Percentage Complete of each stage within a Runbook will show on both the Status Report and the Checkpoint Status Report.

In both reports this information is presented under the Imp Phase Stage Summary section.

The Stage Percentage Complete is calculated as follows:

(Current Time - Stage Start Time / Total Stage Duration) * 100

1. Imp Phase Stage Summary (BO) - This section provides you with a breakdown of all Imp Phase Stages within the Backout Plan if your Runbook contains a Backout Plan

2.  Milestone Tasks - This is  list of all Milestone Tasks within the Runbook
