Scheduling the Runbook

A Deployment Lead can select the option to Schedule the Runbook. The default Deployment Lead is the person who created the Runbook.

Set a Schedule

Every Runbook within ICEFLO must be given a schedule. 

The green section is your Agreed Change Window, all of your Imp tasks should be scheduled to start and finish within this window of time.

ICEFLO then allows you to add on a Yellow Warning Threshold followed by an Amber Service Protection Period.

On the gauge you may see the following indicators:

Start: The point in time at which the first Implementation Task was started

IM: The current Forecast Implementation End time

BN: The current Forecast Backout Now time

BW: The current Backout Worst case time

Where these indicators fall on the gauge will denote the RAG rating of the Runbook.

Backout Now times are calculated on the assumption that should you decide to Backout right now the time indicated is the time your Backout would be due to finish. 

The Backout Worst case is the assumption that you reach the end of your Implementation and then decide to invoke your Backout plan. 

Adding a Schedule

To add a Schedule, click on the Schedule button to navigate to the Schedule screen.

Select Schedule From STP Maintenance Menu panel

If this option is not editable, either you are not a Deployment Manager for that Runbook and / or the Runbook is not in a state that permits scheduling,  e.g. it's already been completed.

The Schedule Panel allows you to enter your Schedule timings.

Input a Start Time and Confirm Change and Maintenance Window. The Warning threshold can be added as an additional alerting threshold on your schedule. Once you are happy with the timings, click Update.

After invoking the Schedule button you will be presented with the scheduling screen as shown above.

There are 3 mandatory fields in the Schedule Runbook screen; Change Start, Change End and Service Impact.  If you do not enter a time into the Warning Threshold this will default to the Service Impact time.

A Runbook cannot be scheduled in the past.

Remember to click Update, capturing your changes. The Schedule can be added at any point during construction.  This can also be amended throughout the lifecycle.

St: Start Time (this is the effective start so is driven by either the change window start, system time, if the change window start time has been exceeded or explicit starts on tasks/dependencies within external Runbooks).

IM: Implementation Forecast End. This is the current forecast end time of the Overall Runbook.

BN: Backout Now Forecast End. This is the Backout end time of the Runbook if we invoked the Backout now.

BW:  Backout Worst Case Forecast End Time. This is the time which we would complete, if we left the Backout to the very last minute.

These will dynamically update to reflect any changes in the plan.

The grey bar depicts any difference between the scheduled start and the forecast or actual start of your change.
