Approving Tasks

Task approval forms part of the Runbook and Task lifecycle, tasks can be approved individually or collectively.  

When approving a Task, the task Duration is baselined, meaning that the Baseline Duration of the Approved Task is stored in ICEFLO and can no longer be edited.  After this point, ICEFLO transitions to a status where the Planned Duration of the Task can be edited.

Approving Individual Tasks

There are two options available when approving individual tasks. Either via the Task Detail screen or the Edit Tasks screen.

To perform this function, navigate to the Task Detail screen by selecting the Task Title (of the Task you wish to Approve) on the List Tasks screen.

Edit Task

On the Task Detail screen, individual Task details can be and should be be reviewed.

Once satisfied that the Task details are correct, select  "Approve".  This will Approve the selected Task.  After the Task is approved, you will note that the State of the Task will change from Review (represented by a pair of binoculars) to (at least) Approved.

Depending on the overall State of the Runbook and the Phase in which the Task resides, the resultant State of the Task may be presented as more mature than approved.  For example:

  • If the Task is in a Pre-Implementation Phase, the Task becomes Available or Pending.
  • If a Runbook is Scheduled, the Task will progress to a state of Scheduled.
  • If the Runbook is Committed, the Task becomes Committed.
  • If the Runbook is Active and we are Approving a Task in the Implementation Phase, the Task will progress to a State of Available or Pending.
  • If the Task is in a Post-Implementation Phase, the Task will progress to a state of Scheduled, Committed, Available or Pending (depending on the State of the STP per the above).

Approving a Task in Edit Mode

You can approve tasks from the Edit Runbook Screen. To do this navigate to the Edit screen.

To perform the approve function, click on the Rows action icon next to the chosen Task.

Select Approve Task.

Approving All Tasks

From the Runbook - Tasks screen select Approve All Tasks.  Select OK to confirm this action.  

Please note that ALL tasks in the Implementation and Backout plans will be approved.

For your reference, be aware that every Task in its' lifecycle, has four Task Duration Timestamps stored against it.  The ability to edit those Timestamps depends on the State of the Task, as outlined below:

  1. Baseline Duration:  The Baseline Duration can be edited for a pre-approved Task.
  2. Planned Duration:   The Planned Duration can be edited for a Task which has been approved but has not been Committed.
  3. Forecast Duration:   The Forecast Duration can be edited for Committed and Active Tasks.  It is stored temporarily in the Actual Duration field.
  4. Actual Duration:      The Actual Duration can not be edited because it reflects what ACTUALLY happened.  It cannot be overwritten.
