Import

To use our Import function you must adhere to certain rules, and have an Runbook already created, to allow a smooth transition from XML/spreadsheet to ICEFLO.  This is shown on the Import Stages screen in the Information section.   You must be part of the Deployment Team and be an author or above to import stages into your Runbook

Import Stages

Before you can start the import process, you must create a Runbook for the tasks to be imported to. If you wish to import Pre Implementation and Post Implementation stages you do not need to add these during the Create Runbook Process, these will be done as part of the Import process when importing the tasks.

Once this has been done from the Runbook List Tasks screen click on the Import Stages button.

  1. You can download a sample XML file as a template for the import or the XML Schema definition by expanding the Information
  2. Once populated with the relevant data, as provided in Input File Format, save as an XML file

Import Process

Import Type - select ICEFLO XML Spreadsheet 2003

  1. Choose whether you are importing to the Implementation 'plan' (only an option if plan is pre-activated) or the Backout 'plan' (only an option prior to invoking Backout)
  2. Browse and select the file you wish to import
  3. Select Link Tasks if you wish your tasks to be linked when imported (this will link all tasks sequentially)
  4. Select Upload to start the importing process

Validate Upload

Once the upload is complete you must validate your data and fix any errors which may have been found.  Select Validate to proceed.  

Once validated and any errors are corrected select Next to continue.

Team Mapping

ICEFLO will automatically map any teams which have been included in the import file. If a team has not been mapped by ICEFLO then it may be that the team does not exist or it not map identically to an existing team in ICEFLO.

Select Next and this will take you to the User Mapping screen.  

User Mapping

The same can also be done for Users in ICEFLO.

If a User has not been mapped in ICEFLO it may be that they do not exist or that someone else should be carrying out the task.

Import Task Detail

Before completing the Import process you will be presented with the Import Task Details. This lists the information which ICEFLO is about to Import for you.

Please Note:

  • That when importing several Notes only the first note will appear on this screen.  You will then be presented with a summary screen as shown below.
  • Any invalid dependencies or any of the following special characters:  <>#~@!"'$%^&*() or tabs in the task title will be removed from your data on Import. Any task titles which will have characters removed are highlighted below in Bold

Press Cancel and address these issues or select Import to acknowledge these and proceed.    

Import Summary Report

This report will give you a brief summary of your Import activity.  Any dependencies which have not been made will be listed in this report.

To close this screen and return to the Runbook Tasks, select Finish.

When importing each Task, within the import file it must have its own unique identifier.

If a Stage duration has been entered in an import file, this will be ignored as the stage duration will be calculated based on the Task durations which form the Stage.

If an Explicit Start Time exists and it is in the past, a flag will still be generated for that Task.
